Hi @David,
Thank you for reaching out to Microsoft Q&A forum and sharing your experience.
I understand you're experiencing an issue where every email sent to your Outlook address is automatically going into your Deleted folder. I know how important it is to receive your emails correctly, especially when it affects your business. I’m here to help you resolve this.
Below are step-by-step instructions you can follow directly on your iPhone or iPad:
1/ Rules may be set up that move emails to Deleted Items, even if they don’t appear in the iOS app.
- Open Safari or any browser on your iPhone.
- Go to outlook.office.com.
- Tap the gear icon (⚙️) in the top right corner.
- Tap View all Outlook settings > Mail > Rules.
- Review any rules that move emails to Deleted Items.
- If you find one, tap it and choose Delete or Disable.
2/ The Ignore Conversation feature was introduced in a recent update to Outlook for iOS, but it may not be available to all users yet. According to Microsoft and user reports, the feature is still rolling out gradually, and some users may not see it even after updating to the latest version. The feature is more consistently available on Outlook for Windows and Outlook Web, where you can manage ignored conversations directly.
- Open Safari or any browser on your iPhone.
- Go to outlook.office.com.
- Sign in with your email account.
- Go to the Deleted Items folder.
- Open the email thread you want to recover.
- Click Ignore (if visible), then choose Stop Ignoring Conversation.
3/ You can try to review Focused Inbox and Filters
- In the Outlook app, go to Settings > Focused Inbox.
- Turn it off temporarily to ensure emails are not being filtered incorrectly.
- Check if any filters are applied in the Deleted Items folder.
4/ Some settings can only be managed online:
- Open Safari (or any browser) and go to outlook.office.com.
- Sign in with your account.
- Click Settings > Mail > Rules.
- Remove any rules that move emails to Deleted Items.
- Also check Settings > Mail > Retention Policies for any automatic deletion policies.
5/ If you're part of an organization, there may be retention or compliance policies affecting your mailbox.
Please ask your IT team to check:
- Retention policies
- Compliance settings
- Email filtering rules in Microsoft 365 Admin Center
