Teams Breakout Rooms Questions

I am working on setting up multiple breakout rooms for an upcoming seminar, with up to 5 breakout rooms and both internal and external attendees, and have two questions about the features with Teams' breakout rooms:

  1. Who has access to the Meeting Chats once in breakout rooms (Organizers vs. Presenters vs. a regular Attendee)?
  2. Is it possible to set up the rooms so that they all auto-record the meeting (instead of having one person responsible for hitting record in each room)?

Thank you!

    1. In Microsoft Teams breakout rooms, only users with the roles of organizer, co-organizer, or breakout room manager have access to the meeting chats. Regular attendees do not have access to the meeting chats once they are in the breakout rooms.
    2. Currently, there is no feature available in Teams that allows all breakout rooms to auto-record the meetings simultaneously. Each breakout room would require a designated person to manually start the recording in that room.

    Hi @Kathryn Dalziel

    Welcome to Microsoft Q&A forum.

According to your concern about managing breakout rooms for the upcoming seminar, here’s a detailed overview to help you plan effectively:

    1. Breakout Room Chat Access
    • Organizers and Co-organizers: They have full control and visibility across all breakout rooms. They can manage chats, move participants between rooms, and monitor discussions.
    • Presenters: Presenters can participate and chat only within the breakout room they are assigned to. They do not have access to other rooms’ chats.
    • Attendees: Regular attendees can only see and use the chat in their assigned breakout room. They cannot view or interact with chats from other rooms.
    • External Guests: External participants behave like attendees. They can chat only in their assigned room. If recordings are needed, these must be shared manually after the meeting since external users do not automatically get access to stored recordings.
    1. Recording in Breakout Rooms
    • Breakout rooms cannot be set to auto-record individually. Each room requires someone with recording permissions (organizer or presenter) to start recording manually once the breakout begins.
    • The main meeting can be configured to auto-record using Meeting Options or meeting templates before the session starts. This ensures the plenary session is captured without manual intervention.
