Hi @Kathryn Dalziel,
Welcome to Microsoft Q&A forum.
According to your concern about managing breakout rooms for the upcoming seminar, here’s a detailed overview to help you plan effectively:
- Breakout Room Chat Access
- Organizers and Co-organizers: They have full control and visibility across all breakout rooms. They can manage chats, move participants between rooms, and monitor discussions.
- Presenters: Presenters can participate and chat only within the breakout room they are assigned to. They do not have access to other rooms’ chats.
- Attendees: Regular attendees can only see and use the chat in their assigned breakout room. They cannot view or interact with chats from other rooms.
- External Guests: External participants behave like attendees. They can chat only in their assigned room. If recordings are needed, these must be shared manually after the meeting since external users do not automatically get access to stored recordings.
- Recording in Breakout Rooms
- Breakout rooms cannot be set to auto-record individually. Each room requires someone with recording permissions (organizer or presenter) to start recording manually once the breakout begins.
- The main meeting can be configured to auto-record using Meeting Options or meeting templates before the session starts. This ensures the plenary session is captured without manual intervention.
